General Summary:

エンプロイー コネクション コーディネーター(人事サービス コーディネーター)はワーナーブラザースディスカバリーのアジア地域で社内の人事インフラを設計及び運用している人事サービスチームの”エンプロイーコネクション”の一員です。このポジションは東京オフィスのECシニアスペシャリストの元で勤務し、APAC ECスーパーバイザーへのレポートとなります。基本的な業務内容としてはスタジオツアー東京‐メイキングオブハリー・ポッターを中心に人事関連サービスを提供しているエンプロイーコネクションチームのサポートとなります。社員との間に入り入社及び退社、移動、各オペレーション、福利厚生のサポートをしていただきます。

Key Responsibilities:

入社から退職までの人事関連サービスのサポート及び実施

  • Workdayでの人事トランザクション、パートタイマーの契約書等の作成

  • 各種入社及び退職手続きのサポート:

  • 入社者への入社書類のメール及び書類の送付

  • 入社書類の回収及び管理

  • 各社会保険の加入手続きのサポート及び各提出資料の回収、スキャン、管理

  • 退職手続きの各種サポート:

  • 退職者へのメール及び資料の送付

  • 退職書類の回収及び管理

  • 退職手続きのサポート及び各資料の回収、スキャン、管理

  • 各提出物が期日通りに提出されるように管理、必要に応じて案内

  • 健康診断関連資料の管理、報告書の作成

  • 社員からの問い合わせの回答

  • 入社初日のオリエンテーションのサポートと実施

  • 各社員の個人ファイルの作成及び管理

  • 給与担当への社員異動情報の共有

  • 他の人事関連の業務のサポート及び人事、社員からの問い合わせ対応 等

General Summary:

The Employee Connection (EC) Coordinator is part of the Tier 1 Employee Connection team (EC) in HR Services APAC, which designs and runs the infrastructure to deliver an outstanding employee experience in Warner Bros Discovery.

This role will be based in Tokyo, Japan, will report to the EC Supervisor, APAC, and locally, be supervised by the Japan EC Senior Specialist on the ground. This role will provide dedicated support to the Employee Connection team and play an essential part in delivering efficient and effective on-the-ground support in processing specific HR Services administration to Japan's Harry Potter Studio Tour team. Regularly interacting with employees, this role is responsible for the accurate and speedy processing and execution of standardized and repeatable processes, including employee onboarding and offboarding, benefits administration, mobility, operations, and compliance. The hire should be highly independent and proactive in coordinating information for accurate data processing related to payroll and employment setup.

Key Responsibilities:

Support and coordinate end to end services HR services activities from hire to exit. Performs HR transactions in Workday (on and offboarding, data administration) Creating and preparing offer letters/contracts for part-time employees. Support and coordinate all onboarding and benefit enrolment activities such as:

  • Sending out onboarding-related correspondence and materials to candidates.

  • Collect and Check documents submitted during onboarding by new hires.

  • Check and ensure new hires fulfill conditions of social insurance, scanning personal documents submitted by new hires for accuracy.

Support and coordinate all off-boarding and exit activities such as:

  • Sending out off-boarding related mails and materials to leavers.

  • Collect and Check documents submitted during off-boarding or exit clearance by leavers

  • Check and ensure leavers fulfills all required handover/exit clearance, scanning forms and documents submitted by terminated employees for accuracy.

Communicating and send out reminders to employees so they submit required documents on time. Support in organizing health insurance results for local and statutory reporting. A ttending to immediate inquiries by employees and responding based on user manual, guides prepared by EC team member / supervisor. Support and coordinate local EC Orientation and induction programs. Send and Receive mail items from employees for any employment and personal related changes / set up. Create and update employee personnel folders, e-files and sorting of employees’ personal data. Update payroll staff movement report timely. Support other general HR administrative work, responds to other HR teams and employee inquiries timely. Report any issues and immediately escalate unresolved matters to EC team member or supervisor. Support other urgent tasks from time to time.

Experience required:

  • At least 1-2 years of experience working in the general field of Human Resources services and administration in an international, dynamic, fast-moving environment.

  • Fluent in Japanese with basic English language skills a plus.

  • Basic knowledge of Japan's local employment, payroll, benefits, and social security.

  • Basic to Intermediate skills in Microsoft Office tools, at least MS Word, excel, and PowerPoint.

  • Passionate about customer experience.

  • Experience working with contact center technology including but not limited to contact center and time tracking systems, and Human Resources Information Systems (HRIS) – Workday knowledge and experience preferred but not required.
